4. Purpose for which personal data are processed (Purpose of the data file)
The personal data kept in the file are handled in compliance with Finland's Personal Data Act to improve the service provided by Helsinki Contemporary Oy and to manage customer contacts and feedback.

Personal data registered in the file can be used for direct marketing purposes in accordance with Finland's Personal Data Act (523/1999). Helsinki Contemporary Oy and/or its associates can send the user direct marketing material in accordance with the Personal Data Act or electronic direct marketing (by email, text messages) if the user has given express permission for that.

The user is entitled at any time to refuse to allow his or her personal data, in part or wholly, to be used for direct marketing purposes.

5. Data content of the file
The personal data file contains information that the user is requested to provide in the registration form. The following information are entered in the file:

Personal data:
- first name
- surname

Contact data:
- email address
- city
- country

6. Regular sources of information
Personal data are collected from the user when the user registers. Information from the official population register can be used to update personal data.

7. Regular disclosure of data and transfer of data outside the European Union or the European Economic Area
The processing of personal data can be outsourced to a third party in which case Helsinki Contemporary Oy guarantees contractually that the personal data are handled in accordance with the Personal Data Act and otherwise appropriately.

No transfer of data outside the EU or EEA.

8. Principles of securing the personal data file
Personal data entered in the data file are kept confidential. Guidelines on the use of the data file have been issued within the controller's organization, and access to the personal data file is restricted so that data entered in the data system and kept in the data file can be accessed and used only by registered employees who are entitled to do so on the basis of their work duties. The controller has secured the premises with an access control system.

The data system is protected with the operating system's security software. Access to the system requires every user to enter a user name and a password. Helsinki Contemporary Oy's data network and hardware on which the data file is stored is protected with a firewall and other technical precautions, such as encryption.

Information on the website is SSL-protected.

9. Right to deny use of data
Registered users are entitled to prohibit the controller from processing information concerning them for purposes of direct marketing, telemarketing or other direct marketing as well as for opinion polling, personal registers or genealogical research.

10. Right to inspect data
Registered users are entitled to check the information entered in the data file about them and to receive a copy of that information. Such an inspection is free of charge once a year.

11. Correction of data
The controller is responsible for correcting, removing or augmenting personal data in the data file if, for the intended purposes, it is erroneous, unnecessary, incomplete or out of date and to take such action either independently or at the request of the user. Furthermore, personal data can be removed if the customer misuses the service or uses the service to engage in illegal or other prohibited activity.
